Title: Trinity House Full-Time Intern

Program: Maternity Home (Trinity House)

Supervisor: Trinity House Manager 

Position Summary: Full-time interns spend a year serving pregnant and parenting women formerly experiencing homelessness and now housed in a loving, caring environment. Full-time interns assist in all aspects of residential operations and support delivery of programs and services in the fulfillment of the Vida mission. All work is accomplished in accordance with Vida’s Code of Christian Conduct, policies, and procedures.  

Qualifications:

Responsibilities:

  • Provide daytime and overnight house coverage, including but not limited to: responding to the phone, welcoming visitors, offering tours, assisting residents with move-ins/move-outs, responding to the duty of the moment, and locking the building at night 
  • Ensure all program policies and procedures are followed and report violations to House Supervisor 
  • Provide transportation in Vida vehicles for moms and babies to and from Vida events and requested appointments
  • Work on a team with other interns and Vida staff members, each having an administrative role in the home 
  • Respond to emergencies, crises, and conflicts within the home  
  • Ensure that any threat to safety or contagious, infectious, or serious health issues regarding adult or child residents are reported to the intern or staff member on call immediately.  
  • Plan and participate in community functions including regular community night, celebrations, house outings, weekly house meetings, and Vida events
  • Foster a home environment where all who enter feel safe, welcomed, and respected  

 

Day in the Life 

  • Assist with community meals in the home provided by community partners and churches 
  • Coordinate care with case manager, supervisor, and manager 
  • Hold a baby while a mom takes a shower or cooks a meal 
  • Accompany moms to medical appointments, court hearings, classes, etc. 
  • Drive moms to classes or groups at Vida 
  • Complete position work such as: create the duty schedule, make welcome signs, respond to emails, grocery shop for the house, communicate and train house coverage and babysitting volunteers, plan community events, and create the chore chart
  • Provide support to Vida Support Services in reception, childcare, and boutique

Title: Trinity House Part-Time Intern 

Program: Maternity Home (Trinity House)

Time Commitment: Part-Time

Position Summary: Part-time interns spend an evening and overnight with pregnant and parenting women formerly experiencing homelessness and now housed in a loving, caring environment. This is a non-live-in position. Interns assist in all aspects of residential operations and support delivery of programs and services in the fulfillment of the Vida mission. All work is accomplished in accordance with Vida’s Code of Christian Conduct, policies, and procedures.

Night in the Life 

  • Shifts would be 2 or 3 nights a week and 1 weekend a month, on average 20 hours a week.
  • Be sure all residents are home by 10 p.m. curfew, lock up and go to bed.
  • Hold on call phone in case emergency happens overnight
  • Hold a baby while a mom takes a shower or cooks a meal
  • Build relationships with residents
  • Assist with any house work such as: create the duty schedule, make welcome signs, communicate with house volunteers

Title: Medical Clinic Administrative Intern

Program: Medical Clinic

Supervisor: Nurse Manager

Time Commitment: Full-Time (Monday-Friday, 8 hour shift)

Work Location: In-person, Appleton, WI (Relocating before starting work is required)

Position Summary: In the administrative intern role, this team member performs administrative tasks for the medical clinic. The intern assists the medical team with behind-the-scenes work to ensure quality health services for Vida patients and acts as the “first impression” greeting patients and guests, answering the phone, and allowing access to the building through our security system, in a professional and respectful manner. All duties and responsibilities are performed in support of Vida’s Mission, Vision, and Statement of Faith.

Qualifications: 

  • Professional and pleasant business oral communication skills, including a pleasant and respectful tone of voice both in person and on the phone. Good listening skills, calm discernment. Basic written communication skills.
  • Ability to multi-task in busy environment
  • Willingness and ability to learn more about Vida’s ministries and programs to better serve the clients and callers needing information
  • Willingness and ability to abide by the office policies
  • Willingness and ability to serve patients and other Vida constituencies (including other staff, donors, vendors, etc.) that promotes Vida’s life-affirming ministry
  • Willingness and ability to demonstrate commitment to Vida’s Mission, Vision and Statement of Faith in the execution of position responsibilities
  • Bachelor’s degree strongly preferred
  • Working knowledge of Microsoft Word and Outlook required

Primary  Responsibilities:

  • Manages medical clinic data collection and analysis for monthly statistic reports to the Board of Directors, grant reporting, and any additional statistics needed for marketing, reporting to donors, or quality measurements as requested by managers or Executive Director.
  • Welcomes patients, provides patients with appropriate paperwork, and completes the check-in process for appointment arrivals, in a professional, friendly tone that conveys respect and compassion.
  • Maintains patient confidentiality.
  • Answers calls and connects the caller to the proper individual in a timely manner.
  • Engages with Nurse Manager and Nurse Practitioner for quality assurance standards and tracking including updating Policies and Procedures, logging safety controls, and editing forms to match current services.
  • Assists with project management for clinic expansion into additional service areas.
  • Performs special projects and tasks as assigned by the Nurse Manager.
  • Communicate with technology services (LiveWire, OTG, Spectrum) when maintenance is needed.

Secondary Responsibilities:

  • Maintains knowledge and understanding of Vida programs, personnel connected with each program, and upcoming events to help direct visitors and callers.
  • Receives material and monetary donations and provides tax receipts as appropriate and in compliance with pertinent policy and IRS guidelines.
  • Receives and distributes mail.
  • Assists staff and volunteers with daily tasks as requested by the Nurse Manager. Tasks may include recording information, copying, and assembling materials, sorting materials, filing, and placing phone calls.
  • Investigates funding sources and assists with grant applications.
  • Investigates additional service opportunities through marketing and community outreach.
  • Attends association meetings and webinars to learn about new opportunities and report information back to managers.

Supervision/Direction (Received/Exercised):

Work is performed independently with periodic review. Employee organizes work and sets priorities based on schedule and office priorities established by Nurse Manager. Nurse Manager regularly reviews non-routine work and periodically reviews routine work.

Job Title: Trinity House Case Manager

Program: Trinity House

Supervisor: Executive Director

Time Commitment: Part-Time (8 hour shifts, weekends as needed, expected hours are 24 per week)

Work Location: In-person, Appleton, WI (Relocating before starting work is required)

General Summary: The Trinity House Case Manager will provide life skills programming to Trinity House residents and supervise other staff members involved in serving residents. All work is accomplished in accordance with Vida’s Code of Christian Conduct, policies, and procedures.

Primary Responsibilities

  • Supervises volunteers and staff members assisting residents with programming including monitoring, supporting, and maintaining an atmosphere/culture conducive to effective/loving client services.
  • Mentor Trinity House residents
  • Schedule resident appointments
  • Conduct resident appointments
  • Maintain paper and electronic resident files
  • Ensure files are comprehensive and current
  • Collects and maintains appropriate information, records, reports related to, and follows policies services, including confidentiality
  • Work with residents to assess needs and develop individualized case plans
  • Assist residents with their educational needs and objectives
  • Refer residents to appropriate community services
  • Serve as a liaison to outside agencies
  • Attend staff meetings/manager meetings
  • Other duties as required

 

Secondary Responsibilities:

  • Participates in regular Trinity House team meetings
  • Ensure smooth day-to-day operations and implementation of the program management plan that pertains to case management
  • Attends and participates in yearly agency fund raising events

Title: Deputy Director 

Program: Administration/Management Team

Supervisor: Executive Director

Time Commitment: Full-Time (Monday-Friday, 8 hour shift)

Work Location: In-person, Appleton, WI (Relocating before starting work is required)

Position Summary: The Deputy Director reports to and works closely with the Executive Director (ED) to promote and lead a high-performance culture that ensures all programmatic, human resources, and physical infrastructure, policies, plans, and practices are aligned with Vida’s mission, vision, values, strategic vision, adaptive programmatic, and financial goals.

Qualifications: 

  • Bachelor’s Degree required, preferably in business or nonprofit administration, human resource management, or related field.
  • Management/administrative experience, including managing a staff of ten or more.
  • Problem solving and program development ability/skills.
  • Excellent oral and written communication skills to communicate effectively with the Board, staff, volunteers, clients, donors, other organizations, government leaders, media, etc.
  • Self-starter with good judgment and integrity
  • Excellent organizational skills
  • Strong leadership and supervisory skills.

General Responsibilities:

  • Works closely with ED, sitting in on meetings and following up on action steps with the management team accordingly
  • Conducts research and assists with the development of public presentations for impactful public outreach
  • Provides analysis, recommendations, and options related to high impact decisions
  • Promotes the organization’s mission in the community
  • Assists with the planning, implementation, and evaluation of development (fundraising, public relations and marketing) strategies to ensure the growth and stability of the organization
  • All duties and responsibilities are performed in support of Vida’s Mission, Vision, and Core Values Statements, and Vida’s Statement of Faith

Primary Responsibilities:

1. Board and Internal Communication Support

  • Assists the ED and Board in strategic planning, annual planning (including budgeting and program development), and in policy development
  • Assists the ED with preparation of Board reports pertaining to administration, operations, and other topics as requested by the Board
  • Serves as a member of Vida’s leadership, decision-making, and planning team
 

2. Supports organization’s mission through program development and delivery

  • Research community needs in areas pertinent to the mission of the organization
  • Assists management team with implementation of programs/services, program expansion in to neighboring communities, and evaluation of program impact
  • Assists ED with quality control and maintenance of high service delivery standards
  • Maintains Vida’s general operations policies
  • Follows all appropriate/applicable policies and procedures, regulations, and restrictions (governmental and organizational), including those applicable to medical services, budget, etc.

 

3. Supports organization’s mission through program development and delivery

  • Serves as major representative of the organization to the staff, donors, the community, and other center constituencies
  • Assists ED with development and implementation of plans to expand services in to neighboring communities and/or expansion of existing programs and services
  • Serves as Vida’s lead to communicate and interact with other community organizations (churches, help/aid agencies), governmental agencies and leaders, general community, donors, and prospective donors for the purpose of educating and fostering good relationships and support. Oversees communication with external constituencies.
  • Networks with other life-affirming organizations toward fulfilling a common vision
  • Assists ED with oversight of fundraising
  • Adheres to appropriate/applicable policies and procedures, regulations, and restrictions (governmental and organizational), including fundraising solicitation regulations, budget, etc.

 

4. Supports organization’s mission through program development and delivery

  • Assists the ED with the day-to-day operation of the organization
  • Ensures the organizations compliance with applicable health, building, zoning, and safety licensing and certification requirements.
  • Assists ED/managers with supervision and oversight of volunteers and staff in the execution of their responsibilities for the efficient and effective carrying out of the organization’s mission
  • Assist the ED/managers with performance evaluations
  • Assist the ED/managers with job applications and interviews
  • Creates a culture/office atmosphere that encourages openness, honesty, trust, respect, Christian reconciliation/restoration/units
  • Assists with budget administration. As a member of the leadership team, oversee, exercise, and ensure fiscal accountability at all levels in managing agency resources.
  • Follows policies and procedures and complies with all legal and organization restrictions and guidelines
  • Demonstrates strong servant leadership by supporting and promoting harmony and a ministry of restoration/reconciliation modeled after Christ’s example; serving clients and volunteers effectively and lovingly and supporting and promoting Vida’s Mission, Vision and Statement of Faith

5. Performs special projects or tasks as assigned by the Board
